These Terms and Conditions apply to direct reservations made through the La Vigna di Carlotta website. By submitting a reservation and paying any amount due, the lead guest confirms that they have read, understood, and accepted these Terms and Conditions on behalf of everyone included in the booking.

Reservations made through Airbnb, Vrbo, or another third-party platform remain subject to the terms, payment conditions, and cancellation policy displayed on that platform.

The Italian National Identification Code, or CIN, is used to identify properties offered for short-term or tourist accommodation. The Italian Ministry of Tourism states that the CIN is mandatory for tourist accommodation facilities and properties intended for short-term or tourist rental.

02Booking eligibility

The person making the reservation must:

  • Be at least 18 years old
  • Have the legal authority to enter into the booking agreement
  • Provide accurate contact, identity, payment, and guest information
  • Accept responsibility for all guests and visitors connected with the reservation

The lead guest must ensure that everyone staying at the property follows these Terms and Conditions and the house rules.

03Reservation confirmation

A reservation is not confirmed until:

  1. The required payment has been successfully received;
  2. The guest has received a written booking confirmation; and
  3. Any required guest or identification information has been provided.

An availability enquiry, provisional hold, unfinished checkout, or unsuccessful payment does not create a confirmed reservation.

04Rates and currency

Accommodation rates vary depending on:

  • Arrival and departure dates
  • Season and demand
  • Length of stay
  • Number of guests
  • Applicable fees and taxes
  • Any valid promotion or special offer

The live booking system displays the current price and applicable currency for the selected dates. The final price shown in the booking summary and confirmation takes precedence over general pricing information displayed elsewhere on the website.

Currency conversion performed by a bank, card provider, booking platform, or payment processor may involve separate exchange rates or charges. La Vigna di Carlotta is not responsible for third-party currency-conversion fees.

05Payment schedule

For direct reservations:

  • 50% of the total booking amount is due when the reservation is made.
  • The remaining 50% is due 14 days before arrival.

When a reservation is made fewer than 14 days before arrival, the full amount may be payable immediately.

The reservation may be cancelled if a required payment is not received by its due date. Any resulting cancellation will be handled according to the applicable cancellation policy.

06Cancellation by the guest

For direct reservations, the following cancellation policy applies:

  • When a reservation is cancelled 30 days or more before arrival, 50% of the amounts already paid will be refunded.
  • When a reservation is cancelled fewer than 30 days before arrival, amounts already paid are non-refundable.
  • Failure to arrive, early departure, or a reduction in the number of nights or guests does not automatically entitle the guest to a refund.

The cancellation date is the date on which written notice is received by La Vigna di Carlotta.

Accommodation reservations for specific dates are generally excluded from the standard EU 14-day cooling-off right. The booking cancellation policy therefore applies from the time the reservation is confirmed.

Guests are encouraged to purchase appropriate travel insurance covering cancellation, illness, transport disruption, emergencies, and other unexpected circumstances.

07Changes to a reservation

Requests to change dates, guest numbers, or other booking details must be submitted in writing.

Changes are subject to:

  • Property availability
  • The rates applicable to the revised dates
  • Maximum occupancy
  • Any additional charges
  • Written approval from La Vigna di Carlotta

A requested change is not effective until a revised booking confirmation has been issued. Moving a reservation to different dates does not automatically remove or reset the original cancellation conditions.

08Cancellation by the property

In the unlikely event that the property becomes unavailable because of circumstances beyond reasonable control, La Vigna di Carlotta may:

  • Offer suitable alternative dates;
  • Offer comparable alternative accommodation where reasonably available; or
  • Refund amounts paid for the affected reservation.

Unless required otherwise by applicable law, liability will be limited to the amounts paid directly for the affected accommodation reservation. The property is not responsible for independent travel, flight, rental-car, event, or other third-party costs.

09Security deposit and damage

A security-deposit pre-authorization may be required at or shortly before arrival. The applicable amount will be displayed during booking or communicated in the booking confirmation.

The pre-authorization will normally be released within five days after departure, provided that:

  • No property damage has occurred;
  • No items are missing;
  • No exceptional cleaning is required;
  • No unauthorized guests, events, or activities occurred;
  • No other chargeable breach of the booking conditions is identified.

The guest is responsible for the reasonable cost of repairing damage, replacing missing items, exceptional cleaning, or addressing losses caused by the guest or anyone connected with the reservation.

Guests must report accidental damage as soon as possible. The security deposit does not limit responsibility where the verified loss exceeds the deposit amount.

10Tourist tax and additional charges

Any municipal tourist tax, government levy, or mandatory local charge that is not included in the accommodation price must be paid as required by local regulations.

The booking summary should clearly state whether the tourist tax is:

  • Included in the online total;
  • Collected separately before arrival; or
  • Payable during the stay.

Arrival & Guest Responsibilities

11Check-in and checkout

Unless the booking confirmation states otherwise:

  • Check-in is after 3:00 PM
  • Checkout is before 10:00 AM

The guest must provide an estimated arrival time and follow the arrival instructions supplied before check-in.

Early check-in and late checkout are subject to availability and must be approved in writing. Additional charges may apply.

Failure to leave the property by the agreed checkout time may result in additional accommodation, staffing, or operational charges.

12Guest registration and identification

All guests must provide any identity and registration information required under Italian law.

The lead guest is responsible for submitting complete and accurate guest details within the requested period. Access may be delayed or refused when legally required information has not been provided.

Personal information collected for registration, booking, and legal compliance will be processed according to the website’s Privacy Policy.

13Maximum occupancy

The property accommodates a maximum of:

  • 8 guests
  • 4 bedrooms
  • 5 beds
  • 2 bathrooms

Only guests included in the confirmed reservation may stay overnight. Additional guests require prior written approval and may result in additional charges.

Exceeding the permitted occupancy or allowing unauthorized overnight guests may result in termination of the stay without a refund.

14Use of the property

The property must be used only as private holiday accommodation.

Guests must:

  • Treat the property, furnishings, equipment, grounds, and neighbouring properties with care;
  • Keep noise at a reasonable level;
  • Follow all safety instructions;
  • Use appliances and facilities responsibly;
  • Secure doors and windows when leaving;
  • Avoid activities that could cause injury, fire, damage, nuisance, or legal violations.

Parties, events, commercial activities, professional photography, filming, and additional visitors are permitted only with prior written approval.

15Smoking, pets, and special requests

Smoking, pets, events, accessibility arrangements, cots, additional equipment, and other special requests are governed by the house rules and booking confirmation.

A special request is not guaranteed unless it has been accepted in writing.

16Children and supervision

Children must be supervised by a responsible adult at all times, particularly around:

  • Outdoor areas
  • Steps and uneven surfaces
  • Fireplaces
  • Roads and parking areas
  • Vineyard and agricultural areas
  • Any other natural or elevated areas

Parents and guardians remain responsible for assessing whether the property and surrounding countryside are suitable for the children in their group.

17Rural and countryside conditions

La Vigna di Carlotta is located in the Tuscan countryside. Guests acknowledge that a rural stay may involve:

  • Insects and wildlife
  • Agricultural activity
  • Seasonal vegetation and pollen
  • Uneven paths or natural surfaces
  • Weather-related conditions
  • Occasional countryside or farming sounds
  • Variable mobile reception

Mosquito screens are installed on the windows, but the presence of insects or wildlife cannot be completely eliminated in a countryside environment.

18Utilities, Wi-Fi, and services

Reasonable efforts are made to keep electricity, water, heating, air conditioning, Wi-Fi, appliances, and other facilities available.

Temporary interruption caused by maintenance, weather, utility providers, network suppliers, emergencies, or circumstances outside the property’s reasonable control does not automatically entitle the guest to compensation.

Guests should promptly report any fault so that reasonable corrective action can be taken.

Property Care, Safety & Support

19Cleaning and condition of the property

Guests must leave the property in a reasonably clean and orderly condition.

The standard cleaning charge does not cover:

  • Excessive rubbish
  • Staining or misuse
  • Damage
  • Abnormally dirty kitchens or appliances
  • Furniture moved and not restored
  • Unauthorized smoking
  • Cleaning resulting from unauthorized animals, events, or additional guests

Reasonable additional charges may be applied where exceptional cleaning is required.

20Personal belongings

Guests are responsible for their money, documents, vehicles, luggage, and other personal belongings.

La Vigna di Carlotta is not responsible for loss, theft, or damage to personal property except where liability cannot legally be excluded.

Items left behind may be stored temporarily. Packaging, postage, courier, and administrative costs for returning items are the guest’s responsibility.

21Safety and security

Guests must follow the safety information supplied before or during the stay.

The property may have exterior security cameras for security and property-protection purposes. Cameras will not be installed in private interior guest areas. Further details should be provided in the listing and Privacy Policy.

Smoke alarms, carbon-monoxide alarms, and other safety devices must not be covered, disabled, removed, or interfered with.

22Access by the owner or manager

The owner, property manager, maintenance personnel, or authorized contractors may enter the property when reasonably necessary for:

  • Emergencies
  • Urgent repairs
  • Safety concerns
  • Legal or regulatory requirements
  • Essential maintenance
  • Suspected serious breaches of these Terms

Except in an emergency, reasonable efforts will be made to notify the guest before access.

23Guest complaints

Any concern must be reported as soon as reasonably possible during the stay, allowing the property team an opportunity to investigate and resolve it.

Guests should provide:

  • A clear description of the issue
  • Supporting photographs where relevant
  • The date and time the issue occurred
  • A reasonable opportunity for corrective action

A complaint raised only after departure may be more difficult to verify and resolve.

Legal, Website & Data Terms

24Force majeure

La Vigna di Carlotta is not responsible for failure or delay caused by events outside its reasonable control, including severe weather, natural disasters, fire, flood, epidemic restrictions, government action, utility failure, transport disruption, civil disturbance, or other exceptional events.

Where such an event materially affects the reservation, the property will communicate available options in accordance with the booking conditions and applicable law.

25Website information

Reasonable efforts are made to keep property descriptions, photographs, availability, facilities, and other website information accurate.

Minor changes may occur because of maintenance, renovation, replacement of furnishings, seasonal conditions, or operational requirements. Such changes do not invalidate a reservation where the property remains materially consistent with the confirmed booking.

Obvious pricing, technical, or typographical errors may be corrected before a reservation is confirmed.

26Data protection

Personal data is processed for purposes including:

  • Handling enquiries and reservations
  • Processing payments
  • Meeting guest-registration requirements
  • Providing property access and support
  • Preventing fraud and protecting the property
  • Complying with legal obligations

27Third-party services

Payment processors, booking platforms, map services, transport providers, local activity providers, and other external services operate under their own terms.

La Vigna di Carlotta is not responsible for the acts, omissions, availability, pricing, or performance of independent third-party providers.

28Liability

Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited.

To the maximum extent permitted by law, La Vigna di Carlotta is not responsible for indirect or consequential losses, loss of enjoyment caused by matters outside its reasonable control, or costs arising from services independently arranged by the guest.

Guests remain responsible for exercising reasonable care and complying with property instructions.

29Governing law and jurisdiction

These Terms and Conditions are governed by Italian law.

Any dispute should first be raised directly with La Vigna di Carlotta so that both parties can attempt to resolve it amicably.

Nothing in this section removes any mandatory consumer rights or jurisdiction protections available to a guest under applicable Italian or European Union law.

30Changes to these terms

These Terms and Conditions may be updated periodically. The version applicable to a reservation is the version presented or incorporated into the booking process when the reservation is confirmed, unless a later change is required by law or expressly accepted by both parties.
